Verification of Competency: Guide, Template and Setup

Verification of Competency (VOC) is an important process in the workplace and across workforce management that ensures employees have the necessary skills and knowledge to perform their job tasks and duties safely and effectively. It involves assessing an individual's competence in specific tasks or roles, typically through observation, interview and practical assessment. By conducting Verification of Competency assessments, organizations can mitigate risks, improve safety standards, and enhance overall productivity. It provides a formal record of an employee's abilities, which is essential for compliance with industry regulations and standards.

Employers must prioritize the Verification of Competency for their workers to maintain a safe and efficient work environment. Through VOC assessments, employers can identify any skill gaps or training needs among their staff, allowing them to implement targeted training programs to address these areas. By regularly reviewing and updating VOC records, businesses can demonstrate their commitment to upholding high standards of safety and competence. This not only boosts employee confidence but also enhances the organization's reputation within the industry.

It plays a pivotal role in ensuring workplace safety and operational excellence. By establishing clear processes for assessing and verifying employee competencies, organizations can minimize risks associated with human error while promoting a culture of continuous improvement. This commitment leads to maintaining high standards of performance and safety within the workplace. There are a number of different approaches and strategies around how the verification of competency can work ranging from a managed approach where it is done on your behalf through to using a platform to review and approve competencies. This might be aided with the use of AI to help identify problems with evidence of training.

- AI can act as an assistant to help detect problems with materials uploaded such as evidence of training at point of upload, to help with the review process

Collect Evidence of Training through the Induction

The Employee Induction and Contractor Induction are two very common areas for establishing the collection of training evidence. Contractors and Employees will simply upload the materials as part of their induction including providing expiry dates. The system will then send out reminders when they are due to be renewed automatically. This helps ensure the ongoing compliance of competencies and that they are actually still up to date and valid as well.

- Ensure that competencies collected remain up to date once verified (i.e. if it expires)

- Collect physical copies as part of the induction process

- This can lead straight to your review and approve process for verification (whether managed or self managed)
